1. Who we are and how to contact us
QUANTONOVA LIMITED (“Quantonova”, “we”, “us”) is the controller of personal data collected through quantonova.com. We are registered in England and Wales, company number 14753008. Our registered office and correspondence address is 31 Keynes Road, Cambridge, CB5 8PP.
For privacy questions, requests or withdrawal of consent, email hello@quantonova.com. This notice covers this website, enquiries, collaboration expressions of interest and applications submitted through our jobs pages. Separate project, client or employment notices may apply to other activities.
2. Information we collect
Training enquiries: your contact and organisation details, selected topic, learning level, preferred format and the training requirements you provide. We use these details to assess and respond to your enquiry, not to subscribe you to newsletter marketing.
Enquiries: your name, email address, subject, message and related correspondence. Collaboration: your organisation, role, country, website, research interests, proposed contribution, collaboration idea and contact permission, alongside your name and email.
Recruitment: your name, email address, phone number, biography or cover letter, CV/resume and any additional information you choose to supply. If you provide a referee’s or another person’s details, make sure you are entitled to share them and tell them about this notice.
Technical information: hosting and security services may process IP addresses, request times, pages requested, browser/device details and security events. Form records include submission details such as the date, time and source page. Where commenting is enabled, comments and associated name, email and anti-spam information may also be processed.
Please do not submit passwords, identification documents, confidential research or sensitive personal information through general enquiry or collaboration forms. If recruitment requires sensitive information, contact us first so an appropriate route and explanation can be provided.
3. Why we use information and our lawful bases
Answering enquiries and exploring partnerships: our legitimate interests in responding to requests, assessing relevant opportunities and maintaining professional relationships (Article 6(1)(f)). Where your request concerns a contract with you, we may also take steps at your request before entering that contract (Article 6(1)(b)).
Collaboration contact permission: where you give permission for follow-up about your expression of interest or common interest group, we rely on consent for that contact (Article 6(1)(a)). You can withdraw it by emailing us. Withdrawal does not affect processing that was lawful before withdrawal.
Recruitment: taking steps at your request before a potential employment contract (Article 6(1)(b)), and our legitimate interests in assessing suitability and administering a fair recruitment process. Applicable legal obligations may also require processing (Article 6(1)(c)).
Website operation, security and records: our legitimate interests in running and protecting the site, preventing abuse, resolving queries and establishing or defending legal claims. We process information to meet legal obligations where required.
Submitting an enquiry is not an agreement to receive general marketing. Any separate optional marketing permission must be requested separately. Providing information is voluntary, but without the fields marked required we may be unable to process your request or application.
4. Where information is stored and who receives it
Enquiry and collaboration submissions are stored in the WordPress/Elementor submissions dashboard. Recruitment applications are handled through the website’s recruitment system. Notifications and follow-up may also be held in our business email accounts.
Authorised team members and service providers may access information as needed for their work. Provider categories include website hosting, backups, maintenance, email and IT services, and website security. Wordfence is used for security; its handling of technical data is described in Wordfence’s privacy policy.
Professional advisers, regulators or public authorities may receive information where necessary for legal duties or claims. We do not sell personal data. A consortium enquiry does not authorise us to circulate your CV, contact details or proposal publicly or to prospective partners without discussing the intended sharing with you.
5. International processing
Website, email and security providers may operate internationally, so information may be processed outside the UK. You can ask us for details of the providers, relevant processing locations and applicable safeguards for your information.
UK data protection law requires an appropriate basis for a restricted international transfer, such as an applicable adequacy regulation or approved contractual safeguards with the required assessments. Any separate project arrangement involving international data sharing should be addressed before that sharing takes place.
6. How long we keep information
We keep identifiable information only for as long as needed for its purpose and any applicable legal requirements. Retention depends on whether an enquiry remains active, the duration of a working relationship, an application’s recruitment stage, the relevance of information to follow-up, and any need to resolve complaints or legal claims.
We review closed enquiries and inactive collaboration records against the purpose for which they were collected and remove or anonymise them when no longer necessary, subject to legal requirements. Recruitment information is retained for the selection process and any necessary period afterwards to address recruitment queries or claims; continued talent-pool contact requires a separate arrangement. Security logs and backups follow their operational retention cycles. Backup copies may remain until overwritten and are not returned to active use except where necessary.
Contact us to ask about the retention of a particular record or to request deletion. A request may be subject to applicable legal exceptions.
7. Cookies, local storage and external resources
WordPress and security tools may use essential cookies for administrator login, authentication and protection against abuse. Site features may also use browser storage for functional preferences. These technologies are distinct from advertising or behavioural tracking.
No advertising or analytics tracker was identified in the public pages reviewed when this notice was prepared. Optional tracking must be assessed before introduction; where consent is required, it must be obtained before the technology is used and must be possible to withdraw.
Some typography may be requested from Google Fonts. Such requests disclose technical information, including your IP address, to the provider. External links, including LinkedIn, Facebook and partner websites, take you to services with their own privacy arrangements. An external service may receive information when you follow its link. We do not control its cookies.
You can manage cookies and site storage through your browser settings. Blocking essential storage may affect login or other requested functions.
8. Your rights
Depending on the circumstances and applicable law, you can request access to your personal data, correction, erasure, restriction of processing and data portability. These rights are not absolute.
Your right to object: you can object to processing based on legitimate interests, including on grounds relating to your particular situation. You can always object to direct marketing.
Where processing relies on consent, you can withdraw it at any time by emailing hello@quantonova.com. Tell us enough to identify your request; we may need proportionate information to verify your identity. We normally respond within one month, subject to the extensions or exceptions permitted by law.
The website forms do not make decisions with legal or similarly significant effects solely by automated means. Any use of automated assessment beyond ordinary security filtering would require an appropriate further explanation.
9. Complaints, security and updates
Please contact us if you have a concern so we can try to resolve it. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113. Where applicable, you may contact the supervisory authority in your country.
We use access controls, HTTPS and website security measures to help protect information. No website, email service or transmission can be guaranteed completely secure.
We may update this notice as the site and our processing change. If a new use requires further information or consent, an updated notice alone is not a substitute for that requirement.
